Email Templates

  • A new feature for email templates allows you to use lead and assigned to user information inside the template. Use the Lead Substitutions dropdown to insert the desired information. This will add information inside brackets.  The Lead’s name field would look like [LeadName] when inserted into the template. All of the lead’s fields and the assigned to user’s first name, last name and email address can be used in the template.
  • A subject has been added to Email Template. The Subject will be used to default the subject field when selecting the template when sending a message.

Web Lead Confirmation Email Enhancement

  • A new setting for Web Lead Confirmation allows you to send the email from the Assigned To user’s email address. This will allow email responses to go back to Assigned To user’s email address instead of a specific address that the user may not have access to. The ”Default From Address” is used if the lead is not assigned to a user or if the assigned to user has no email address configured.

Neglected Leads Enhancement

  • A change to the way the Neglected Leads are calculated has been made to make the list more accurate. Neglected leads will no longer be affected by System Log Type history notes. If a history note is added with a type related to a system function it will be ignored when calculating neglected leads. Examples of system types are “Quick Assign”, “Web Lead”, “Merge Duplicates”, “Lead Auto Assignment”.

Undelivered Email Enhancement

  • If an email sent from Blitz Lead Manager is not deliverable:
    • An email will be sent to the From address for the email indicating the recipient and the message from the recipients mail server indicating why it was not delivered.
    • A history record will be added to the lead indicating that the recipient was unable to receive the message.
    • If the email address for the lead matches the undeliverable recipient address, the email will be removed from the lead. Since this email is invalid you don’t want to send more messages to this email address.

Report Enhancements

  • Most of the reports within the Blitz Lead Management Software have received a face-lift. The reports have been modified to improve performance and ease of use.
  • The Active User List, Lead List, Lead Log History List, Lead Status By Campaign and User List reports have all been converted into a more friendly grid layout. The grid layout improves performance and also adds the ability to sort the report after it has been generated.

Call Fire Dialer Integration

  1. Import your leads that you are going to be calling into Blitz
  2. Export the leads out of Blitz using the lead list export. The final column of the exported csv file will contain a link to the lead in Blitz.
  3. Import those leads for calling into a Call Fire campaign.
  4. Start dialing your leads using Call Fire’s user interface.
  • Once a lead is connected you will have a Link1 option. This will display the lead’s Lead Log screen in Blitz. Just add your notes and follow ups into Blitz and continue on to the next call. Below are a couple of screenshots showing how the lead will look inside of Call Fire after a call has been connected.

New Lead List Columns

  • Two new columns have been added to the lead list within the Blitz Lead Management Software.
  • The Next Appointment column will show the next non-recurring appointment for the lead. If you have a recurring appointment on the lead the Recurring Appointment icon icon will be displayed. You can click on the More Details icon to display more details on the leads upcoming schedule. You can also click the My Scheduled Leads button in the header. This will apply a filter that shows you the leads that are assigned to you and have a next appointment. It will also sort the appointments into ascending order so you can view your upcoming appointments in order. By default the Next Appointment column will display on the lead list. If you wanted to not show it you can use the column options and un-check the Next Appointment option or by disabling it as a default column for the campaign.
  • The Number of Opportunities column will display how many opportunities that the lead currently has. You can click the More Details icon to view a breakdown of the opportunities by won, lost and pending. By default the Number of Opportunities column is not displayed, it can be shown using the column options or by enabling it as a default column for the campaign.

User Activity Report

  • A new report has been created for administrators within the Blitz Lead Management Software. The User Activity report allows you to view totals of history and milestone activity for a user of a given date range. The report can also group those results by campaign or lead source. The report is listed under the Administration -> Reporting option. To run the report, select the user, date range, and grouping option and click the generate report button. The report can also be exported to excel by clicking the excel icon.

Edit My Profile settings from Manage Users

  • Administrators can now edit each active user’s My Profile settings. A link to each user’s My Profile screen is now accessible from the Manage Users screen. This link allows you to view and edit each users My Profile settings. This allows administrators to have more visibility and control of email settings and other options. Click the user_edit icon to open the My Profile screen for the user. You can then view and edit that user’s settings.

New Quick Add Hour or Day follow up option

  • A new option has been added to allow you to create a quick add that has a follow up less than one day. When you create a follow up for your quick add you will have a drop-down that allows you to select Hours or Days. So now you could create a follow up for 2 hours instead of one day.

Miscellaneous

  • Opportunities “Estimated Close Date” column is now shown by default.
  • The Lead Log “Show Milestones” option is now remembered. When you come back to the Lead Log it will show/hide the milestones based on it’s last status.
  • The Lead Log call script option is now remembered.  When you come back to the Lead Log it will show/hide the script based on it’s last status.
  • When clicking the view link from an email, the lead log screen will automatically open for the lead you are viewing.
  • When the Lead Log screen is opened from the Schedule, the schedule will refresh when the Lead Log is closed if an appointment has been added, updated or deleted.
  • The Schedule time picker will use your My Profile Default Schedule View to populate the times available for selection.

Auto Assign Groups

Configure & Edit Auto Assign Groups

  • An auto assignment group in the Blitz lead management software is used to automatically assign web lead and web form leads equally to the configured users in the group. Each Web Lead type can be configured for a different assignment group. So if you have users that handle a specific type of lead and not others, then you can create an assignment group for just those users. Each web form can also be configured to have an auto assign group. Once the lead is assigned to the user, it will be added to their schedule for that date and time. Watch the configuration video on Blitz Tv.
  • Administrators can view the list of auto assign groups by navigating to Administration - Auto Assign Groups. By default you will see an auto assign group named Round Robin. To edit the assign group’s name, click the edit icon. Type the new name and click saveupdate icon. To delete the assignment group, click the delete icon.

  • To configure the users that will be a part of the group click the Users icon. This will open the Assign Group User screen. Check the Receive Leads checkbox for the users that will receive leads as part of this group. Click the Save users button to save the list of users. All users that are checked for a group will receive leads in a round robin fashion. Each user will receive an equal number of leads over time.

  • To view the history of all leads that have been assigned using an assign group, click the Assignment History link. This will open the Assign Group History page.  This page contains the leads that were assigned, where the lead is from, and who the lead was assigned to when it was created. Each field can be sorted and filtered.

Configuring Web Form Auto Assign Group

  • Each Web Form can be configured with a different Auto Assign Group. Navigate to the Administration - Manage Campaigns and select the settings icon for the campaign’s web form you want to configure. Click the Web Form tab,  select the Auto Assign Group from the drop-down and click the save button to save the Web Form’s settings.

  • Each Web Lead Provider’s lead type can be configured with a different Auto Assign Group. Navigate to the Administration - Web Lead Setup and click the configure link for the lead provider you want to configure. Select the Auto Assign Group from the drop-down for each lead type you want to configure and click the Save Settings button to save the lead provider settings.

  • The administration menu has been re-organized so that related items are located next to each other. Each item is also associated with an icon to help you locate the option desired more quickly.

Blitz Lead Management Software’s Schedule - Configurable Day View

Blitz Lead Manager allows you to configure the start and end times of the day view of your schedule. You can configure the default start and end time of your schedule so you can see the times that are most important for you. By your start and end times 7:00 AM - 6:00 PM. The schedule can be configured to start from 12 AM to 11 AM and end from 12 PM to 12 AM by updating the Default Schedule View setting on your My Profile.

Web Form

Create & Configure Web Form

  • A web form can be configured for every active campaign in the Blitz lead management software. You can link to the web form from your website, embed the form on your website, or even put the web form on your business facebook page as a new tab.  Watch the configuration video on Blitz Tv.
  • Administrators can navigate to Administration - Manage Campaigns and click the settings for the desired campaign.
  • Navigate to the Web Form tab.

  • Click the “Create Web Form” button to create the web form for the selected campaign. The Web Form will be generated with default settings and it will create a new lead source for your form.

  • The Web Form is fully functional with default settings. Below are the settings you can configure for your web form:
    • Enable the Form:  This setting allows you to turn the form on or off. If the setting is off you will not be able to use the form.
    • Form’s URL: Click the link to view the form.
    • Form UserThe form user is the Created By user for all leads added from the form. So when a new lead gets added it will be displayed as being added by the selected user.
    • Lead’s Source: The selected lead source will be applied to all leads added from the web form.
    • Header Message: You can display a message at the top of the form. An example would be instructions on how to fill out the form.
    • Footer Message: You can display a message at the bottom of the form. An example would be a privacy statement.
    • Confirmation Message: This message is displayed after a lead has been submitted using the form.
    • Check the fields to show on the form: You can choose which fields you want to display on your form. Check off all of the fields that you want to see on your form. Note: Custom columns will display with there custom names and types. So if you have a custom drop-down it will display that way on your form.
    • Click the Save button to save your changes.

  • After saving your settings. Click the View Form link to see how your form looks and test it.

  • Each user can setup there “Notify me of  new web form leads” configuration on there My Profile screen. Click the check-box  to receive an email notification when a new lead is added from a web form.

Links To Schedule & Leads in Emails

Notification emails now contain links to the referenced Lead or your Schedule for the day of the event.

Duplicates

Merging Duplicates

  • Potential Duplicates will be identified on the lead’s Lead Log screen.
  • If duplicates are configured to Automatically be searched, the link to view the potential duplicates will be shown if any are found.

  • If duplicates are configured to Manually be searched, you will see the Manually Search For Duplicates button. Once clicked it will present the link to view the potential duplicates if any are found.

  • The Potential Duplicates screen shows and highlights the similarities between potential duplicates and the searched lead. To compare a lead further to the searched lead, click the checkbox of the lead and click the Review & Merge Review & Merge button.

  • The Review & Merge screen allows you to view the two leads side by side. The Lead To Keep is the lead that will be kept in the system. The Lead To Merge is the lead that will have all of it’s details merged into the Lead To Keep. The Lead To Merge will then be moved into the Recycle Bin. The Lead To Keep and Lead To Merge can be flipped by clicking the Flip button. The Lead To Keep can also be manually updated so that you can create the most complete lead. Click the merge2 button to merge the two leads together.
    Review Duplicates

Configuring Duplicates

  • There are two settings that control how duplicates are are displayed and what leads are included when searching for potential duplicates.
  • Search For Duplicates Setting - On the Administration My Company screen the Search For Duplicates setting allows you to configure how duplicates are searched for your company. The Automatically Searched option does an automatic search every time the Lead Log screen is opened. The Manually Searched option allows the user to click a button to perform the search. The Turn Off option disables all searching for duplicates for your company.
  • Search Archived Leads For Duplicates - This allows you to display archived records as potential duplicates. These records are display only. To merge a lead with an archived lead you would have to re-activate the campaign.

  • User Setting - The Administration Manage Users screen has a new setting Allow Merging Leads.  This setting will restrict the ability of users to actually merge two leads together. Users without permission to merge leads will still be able to view the potential duplicates.

The My Profile page has a new option that allows each user to specify which page they want to see when they login to Blitz. Users can select between the My Blitz, Lead List, Neglected Leads, or Schedule pages.

Recycle Bin

  • Leads can be moved the recycle bin by clicking the Recycle Bin icon on the lead list for the lead you wish to move.
  • To view the recycle bin click the Recycle Bin button on the lead list. You will only see leads that you can access.  (Ex. Private Campaigns or Archived Campaigns)
  • To restore a lead in the recycle bin back into it’s campaign, click the undo icon.
  • For administrators, click the deleteicon to permanently delete a lead and all of it’s associated content.
  • For administrators, click the Empty Recycle Bin to delete all of the leads in the recycle bin.

Dashboard - New Opportunities Tab

The new opportunities tab shows you more details on won and pending opportunities.

Won Opportunities - See a breakdown of the opportunities that were marked as won during the date range specified.

  • Won Opportunities By Type - Shows the count and sum of won opportunities broken down by the type. (Ex. One Time, Monthly, etc.)
  • Won Opportunities By Category - Shows the count and sum of won opportunities broken down by the opportunity’s category.
  • Won Opportunities By User - Shows the count and sum of won opportunities by the Assigned To User of the opportunity.

Pending Opportunities - See a breakdown of the pending opportunities that are set to close during the date range specified. The projected value is the opportunity value x chance to win. So if you have an opportunity worth $50.00 that has a 50% chance to win, it’s projected value would be $25.00.

  • Opportunity Projections By Type - Shows the count and projected sum of the pending opportunities broken down by the type. (Ex. One Time, Monthly, etc.)
  • Opportunity Projections By Category - Shows the count and projected sum of the pending opportunities broken down by opportunity category.
  • Opportunity Projections By User - Shows the count and projected sum of the pending opportunities broken down by the assigned to user.

Milestone Report

Three new columns have been added to the milestone report.

  • Time To Reach - The amount of time since the lead was created until the milestone was reached.
  • Time At Milestone - The amount of time spent at the milestone.  If the milestone is the current milestone for the lead, it will show the same value as the Time Since Reached.
  • Time Since Reached - The amount of time that has elapsed between the time the milestone was reached and now.
